How Far Ahead Should You Book Chair and Table Rentals?

The honest answer is the earlier the better, but that's not especially useful on its own, so here's what actually drives it: how busy the calendar already is around your date.

The dates that fill up first

Summer weekends go early. So does graduation season in late spring, and any holiday weekend, since that's when the most families and organisations across the Pittsburgh area are all trying to book the same kind of Saturday. Weddings tend to be booked furthest ahead of all of these, often many months out, simply because a ceremony date is rarely flexible once it's set.

A weekday event, or a weekend outside of peak season, has far more room. If your date falls in one of the busy windows above, that's the strongest reason to get in touch sooner rather than later.

What booking early actually locks in

A 50% non-refundable deposit reserves your date, with the remaining balance due before delivery or pickup. Until that deposit is paid, the date isn't held, which is exactly why the busiest weekends go to whoever asks first rather than whoever asks best.

Booking early doesn't lock in your exact guest count. Numbers move around as RSVPs come in, and that's normal: get in touch as soon as you know a change is coming and we'll work with you on it, the same way described in the FAQ on changing an order.

What if it's short notice?

Send the request anyway. If something's available, it's available, whether that's six months out or six days out. The worst that happens is we tell you straight away if your date's already booked, which is a much faster answer than wondering.

• Wedding: as soon as your venue and date are confirmed.
• Graduation party, summer weekend, or holiday weekend: as early as you reasonably can, ideally as soon as the date is set.
• Anything else, or anything last-minute: request a quote anyway.
